Account, piani e API

Your account and your team

Invite people to your workspace, choose what each one can do, and find your language, workspace and API settings.

Questo articolo è mostrato in inglese.

Your workspace

A workspace holds your newsletters, contacts, settings and plan. You get one when you sign up.

The Workspace card in Settings shows its name, slug, plan and your role.

You can belong to several workspaces, for example when someone invites you. A Switch workspace menu then appears in the sidebar.

Roles

  • Viewer: sees everything, changes nothing.
  • Editor: writes and sends newsletters, manages contacts, fields, filters, media and lead magnets.
  • Admin: everything except billing and ownership. Manages the team, API keys, webhooks, domains and integrations.
  • Owner: everything, billing included.

You may also see Smartletter team: our support staff, when they help you.

Invite someone

  1. Go to Team.
  2. Under Invite someone, type their email address and choose a role: Admin, Editor or Viewer.
  3. Click Invite.

They get an email. They only join if they accept. The link works for 7 days. You can Resend or Cancel an open invitation.

Only owners and admins can invite. You can't give a role higher than your own.

Seats count members and open invitations: Free 1, Starter 2, Pro 5, Scale and Agency unlimited. So Free workspaces can't invite.

Change roles, remove or leave

  • Owners and admins can change a member's role or Remove them. Their access stops right away.
  • Transfer ownership: the owner picks an admin, who becomes the owner. The old owner becomes an admin. Billing moves too.
  • Leave workspace: you lose access. You can't leave your only workspace, or a workspace where you are the last owner.

Language and API keys

Change the app's language with the picker at the bottom of the sidebar. Smartletter speaks English, French, Spanish, Italian, German and Portuguese.

API keys live in Settings > API keys. Click Create key and pick its access:

  • Full access: everything. Keep it on your servers.
  • Sending only: transactional email only.
  • Signups only: adds subscribers who must confirm by email. Safe in a site's code.

The key shows once. Copy it right away. Only owners and admins manage keys. See API and MCP.

Deleting things

  • A field: deletes its values on every contact.
  • A filter: issues already scheduled keep their copy of the rules.
  • A topic: archive it. Issues already sent stay. Nobody can join it anymore.
  • An API key: Revoke it. Calls with this key fail right away.
  • A contact: delete it through the MCP tools. See API and MCP.
Deleting a field or revoking a key can't be undone.

Delete your account

Only the owner can delete the workspace. Open Settings and click Delete my account.

  1. Cancel your paid plan first, from Manage subscription. A running plan blocks the deletion.
  2. Wait until no campaign is sending.
  3. Click Email me a code. A 6-digit code arrives within a minute. It works for 15 minutes.
  4. Type the code, then the workspace name or your email, and confirm.

Right away: sending stops, API keys and MCP access are revoked, public pages and forms answer "gone", your other sessions are signed out. You get an email with the deletion date.

You have 30 days to change your mind. Sign in and click Cancel the deletion in the red banner. Create new API keys after that: the old ones stay revoked.

A week before the date, you get a reminder. On the date, everything is erased: newsletters, subscribers, sends, files, domains and webhooks. If you belong to no other workspace, your login goes too. A last email confirms it.

We keep only the date and a hashed fingerprint of your email. Addresses that bounced or reported spam stay blocked on the platform, with no link to you.
